Private events

Guest submissions are associated with their event rather than a public video feed.

✓

Guest consent

Guests are asked to provide consent before their recording is submitted to an organizer.

⌛

Limited retention

Event video retention follows the Free, Celebration, Professional or Customize plan selected for that event.

1. Information we collect

PalStory may collect information you provide when creating an account, creating or managing an event, purchasing an event plan, contacting us or otherwise using the service.

Organizer information may include your name, email address, account information, event details, event cover image, selected plan and other information you choose to provide.

Guest submissions may include video recordings and information voluntarily provided by the guest as part of the event experience.

We may also collect limited technical information such as device, browser, session, upload and security-related data required to operate and protect the service.

2. How we use information

We use information to create and manage accounts and events, provide guest recording and upload functionality, operate organizer dashboards, enforce event-plan limits, process approved content and provide the PalStory service.

We may also use limited technical information to maintain security, prevent misuse, troubleshoot problems and improve reliability and performance.

3. Guest video submissions

PalStory is designed to collect guest video messages for a specific private event rather than publish them to a public social feed.

Guest videos are submitted to the organizer's event collection and may remain pending until the organizer reviews them.

The organizer can approve or reject submitted videos. Only approved submissions are intended to be included in a combined memory film or other final event collection.

4. Guest consent

Before submitting a video, guests will be asked to confirm their consent to upload the recording and make it available to the organizer of the relevant event.

Where applicable, that consent also covers processing of an approved submission for event features such as a combined memory film.

Guests should only submit recordings that they are authorized to share. Organizers are responsible for using collected event content appropriately.

5. Camera and face-presence checking

PalStory's guest recording experience requires camera access because the service is designed for video messages rather than audio-only submissions.

The recording flow may use automated face-presence checking to determine whether a face is visible before or during recording. The purpose of this check is to support the video-message experience and prevent audio-only recordings.

PalStory does not intend to use this feature to identify who a person is. Face-presence checking is not intended to perform facial recognition or establish a person's identity.

6. Private event storage and access

Guest submissions are intended to be stored privately and associated with the specific PalStory event to which they were submitted.

Organizer access is protected through authenticated account and event-ownership controls. Event content is not intended to be available as a publicly browsable video gallery.

Guests may access an event recording page through its QR code or guest link while that event's collection window remains active.

7. Organizer moderation

Submitted videos may initially appear as pending in the organizer dashboard.

Organizers can review submissions and approve or reject individual videos before a final collection or memory film is prepared.

Only organizer-approved videos are intended to be included in the final memory film.

8. Event plans and collection limits

PalStory currently offers Free, Celebration, Professional and Customize event plans. Limits depend on the plan selected for each event.

Free supports up to 10 guest videos, recordings of up to 30 seconds and a 24-hour QR collection window.

Celebration supports up to 150 guest videos, recordings of up to 45 seconds and a 72-hour QR collection window.

Professional supports up to 300 guest videos, recordings of up to 60 seconds and a 7-day QR collection window.

Customize starts at 301 guest videos with no upper video limit, recordings of up to 60 seconds and a 7-day QR collection window.

Recording durations are maximum limits. Guests may stop recording before the maximum duration.

9. Video retention

Video retention depends on the event plan selected by the organizer.

Free event videos are retained for up to 3 days, Celebration event videos for up to 15 days, Professional event videos for up to 30 days and Customize event videos for up to 30 days.

After the applicable retention period, PalStory may permanently delete event video files from active storage. Organizers should download content they wish to keep before the retention period expires.

Certain limited records may be retained longer where reasonably necessary for security, fraud prevention, legal, accounting or payment-related obligations.

10. QR collection window

Each event QR code and guest link has a collection period determined by the selected plan.

Free events collect submissions for 24 hours, Celebration events for 72 hours, Professional events for 7 days and Customize events for 7 days.

After the collection window expires, new guest recording and upload may be disabled while authorized organizer access can remain available during the applicable retention period.

11. Memory films and downloads

PalStory allows organizers to download approved guest videos and, where available in the organizer experience, combine organizer-approved submissions into one downloadable MP4 memory film.

Only organizer-approved videos are intended to be included in the combined memory film.

Creating the combined memory film may involve temporary processing of approved video files in the organizer's browser for functions such as sequencing, resizing, formatting and combining the recordings.

The completed combined memory film is downloaded directly to the organizer's device and is not intended to be stored by PalStory as permanent cloud content.

Organizers are responsible for preserving any downloaded guest videos or combined MP4 files they wish to keep.

12. Payments

Paid PalStory event plans require payment before the applicable paid event features are activated.

Payment transactions may be processed by third-party payment providers such as Razorpay. PalStory may receive and retain transaction information such as the selected plan, amount, payment status, payment date, order identifier, payment identifier, organizer identifier and associated event identifier.

PalStory does not need to store complete card, UPI or other sensitive payment credentials when those details are handled directly by the payment provider.

13. Service providers

PalStory may use third-party providers for infrastructure, databases, object storage, authentication, email delivery, payments, video processing, security and other technical functions required to provide the service.

These providers may process information only as necessary to perform services on PalStory's behalf and subject to their applicable terms, safeguards and legal obligations.

14. Event analytics

PalStory may provide organizers with event-level information such as the number of videos received, event status, remaining collection time and counts of pending, approved or rejected submissions.

We may also process limited usage information required to provide these features, enforce plan limits, maintain security and understand service performance.

15. Security

PalStory aims to use reasonable technical and organizational safeguards appropriate to the nature of the information and the service.

These safeguards may include authenticated organizer access, event ownership checks, restricted storage access, secure transport and other application-level controls.

No internet-based service can guarantee absolute security. PalStory will continue reviewing and improving its safeguards as the service develops.

16. Your choices and requests

You may contact PalStory regarding questions or requests concerning your account, personal information or event content.

Where appropriate, PalStory may request information necessary to verify that you are authorized to make a request relating to an account or event.

Some information may need to be retained where required for legal, accounting, fraud-prevention, security or dispute-resolution purposes.

17. Children and minors

PalStory is intended to be used by event organizers and guests with appropriate permission.

Organizers are responsible for ensuring that participants, including minors where applicable, are recorded and submitted with appropriate permission or consent from a parent, guardian or other authorized person where required.

Guests should not upload video of another person where they do not have appropriate permission to do so.

18. Changes to this policy

We may update this Privacy Policy as PalStory develops, introduces new functionality, changes service providers or changes how information is processed.

The latest version will be published on this page together with an updated revision date.
